About the Client

Located in the north of Tasmania and famed for its natural beauty, the City of Launceston is a progressive organisation working with its residents to create the best outcomes for the community and a positive future for all.

Guided by their values of pursuing standards of excellence and continuously seek opportunities for improvement, the City of Launceston adopted Doc Assembler to update and improve their internal processes and Council Meeting documents to enhance knowledge sharing with users in their community.

Their championing of innovation and collaboration is undoubtedly one of the many reasons Launceston took Wotif’s 2022 award for ‘Aussie Town of the Year’. This marked Tasmania’s inaugural win in the yearly tourism award which examines criteria such as affordability, quality, and traveller experience.

The Challenge

The City of Launceston’s previous system was outdated and in the process of being phased out. They needed a new, up to date system, which would better streamline timeframes and their internal processes more efficiently.

“The software we were using was an older system that was being phased out, so we needed to find an alternative.

We looked at a number of products and Doc Assembler was standalone product that could integrate with our other systems and simplify our processes.”

The Brief and Implementation

The City of Launceston was looking for a cutting-edge software tool to assist them in streamlining their internal operations, including:

  • Ability to use and customise templates
  • User accountability for authors and approvers
  • Document collaboration of multiple authors
  • Clear and concise formatting
  • Ease of automation
  • User friendliness

Doc Assembler’s cloud technology allows modern organisations to work collaboratively anytime, anywhere. It automates manual processes, saving valuable time and effort.

By facilitating team collaboration and enhancing governance procedures, Doc Assembler provides a connected view of the agenda and minutes reporting process.

Harbour Software implementation and support consultant Melissa Dunlop worked closely with the City of Launceston, providing them with ongoing training and support so their users feel empowered to collaborate on meeting documents online.

“Melissa has been fantastic. She made everything very clear, simple, and easy to follow, especially during COVID when we were unable to meet in person.”

The Outcome

Since partnering with Harbour Software, the City of Launceston have already experienced a major increase in organisational efficiency.

“Our process of creating reports and agendas is quick and seamless. We spend much less time in a back and forth of fiddling and editing things. The customisable templates within Doc Assembler have been particularly good, our last system didn’t have them and they’re great for functionality” says Kelsey.

“Our agendas are much clearer and more concise. Recording votes with the tick boxes is also handy and efficient, especially with multiple votes.”

When asked how they would describe their overall experience with Harbour Software, Kelsey did not hold back in her rave review of the customer experience.

“The amount of support and assistance we received from Harbour Software during the onboarding of the product and since launch has been excellent. They’re always available to help on the spot, they’re able to jump in and have their tech team come in and help.”
